Policy for MEETING ROOM USE

The primary purpose of the meeting room is for library activities, including programs presented by library staff or by the Friends group and other organizations approved by the Library. When a meeting room is not being used for a Library activity, then it may be used by the public. The Library Board of Trustees reserves the right to limit the frequency of use of its meeting rooms and to cancel reservations and to review any or all applications before granting approval. The facilities will be made available on an equitable basis, regardless of the beliefs or affiliations of individuals or groups requesting their use in accordance with the American Library Association Bill of Rights.

LIBRARY ACTIVITIES

Library sponsored activities may be conducted before or after library hours at the discretion of the Library Director. Fund raising events sponsored by the Library, Friends of the Library or other organizations affiliated with the Library are permitted. Refreshments may be served. Library related organizations are responsible for setting up and returning the room to its original condition.

USE BY THE PUBLIC

The meeting rooms are available to the public for civic, cultural or educational programs or meetings. The meeting rooms may not be used for fund raising or for meetings involving financial gain as an important element. Meetings planned by a company to promote, advertise, or leading to sale of its products and services are not permitted. Commercial solicitation is not allowed. Profit making organizations sponsoring and educational program of a non-profit nature will be permitted to use the meeting room provided the meetings are open to the public. They may charge for learning materials.

Organizations presenting programs or conducting business meetings may wish to limit public comments during all of part of their meeting or programs. Any such limitations should be announced at the beginning of the meeting and should in no way interfere with the public's ability to attend, observe or listen to the program.

The Library does not advocate or endorse the viewpoints of any group or individual. Meeting room use shall not be publicized in such a way as to imply Library sponsorship.

The meeting rooms are available only when the library is open. Meeting room use, including clean up, must end before the library's closing time and must not interfere with normal Library operations. The group using the room is responsible for set up and returning the room to its original condition. Light refreshments may be served, but not alcoholic beverages. The Library reserves the right to charge a fee for any needed repairs or cleaning. The Library is not liable for injury to people or damage to property, individual or organizations using the meeting room.

Reservations may be made by filling out the Meeting Room Reservation form available at the Adult Circulation Desk. Confirmation by telephone or in writing will follow as soon as possible. Groups may cancel their reservation at any time and should notify the Library Director as soon as possible.
